Privacy Policy

Fish On Outfitters Ltd.
Effective date: October 13, 2026

1. About this policy

Fish On Outfitters Ltd. ("Fish On Outfitters", "we", "us") runs a fishing and outdoor store at Unit F, 1100 Lansdowne Dr, Coquitlam, British Columbia, and the online store at fishonoutfitters.com.

This policy explains what personal information we collect about our customers and website visitors, why we collect it, how we use and share it, where it is stored, and how you can contact us about it. It applies when you:

  • shop with us online or in the store;
  • create an account or join our free or paid membership;
  • sign up for a class, fishing trip or event;
  • take part in our referral (Creator) program, as a referrer or as a customer who was referred;
  • receive our emails or fishing reports;
  • send us a message through a form on our website;
  • leave a review; or
  • visit our website.

We handle personal information in accordance with British Columbia's Personal Information Protection Act (PIPA) and, where it applies to information that crosses provincial or national borders, Canada's Personal Information Protection and Electronic Documents Act (PIPEDA). Where our forms refer to our "Privacy Policy" or our "Personal Data Processing Terms", they mean this policy.

"Personal information" means information about an identifiable individual. It does not include business contact information that is used only to contact you about your business or work.

2. What we collect

We collect only what we need for the purposes described in section 3. Most of it comes directly from you.

2.1 When you shop online or create an account

  • Name, email address, phone number, billing and shipping address.
  • Your order history, items in your cart, and the pickup or shipping option you choose.
  • Payment information. Card, Apple Pay, Google Pay and PayPal payments are handled by our payment service providers. We do not receive or store your full card number.
  • Whether you agreed at checkout to receive news and offers by email.

2.2 When you shop in the store

  • If you choose to give it: your name, phone number and email address, so that we can find your customer record at the till.
  • Your in-store purchase history and loyalty points.
  • Whether you agreed to receive news and offers by email.

Your in-store and online customer records are kept in the same system, so that we can recognise you as the same customer in both places. We match them by your email address and, in the store, by your phone number.

2.3 When you join our membership (free or paid)

We offer a free membership and paid membership levels (for example VIP). You join by buying the membership online or in the store.

  • The information in 2.1 or 2.2, and the membership you bought.
  • Your membership level. It is saved on your customer record, which our store and our online store share, so your member prices apply in both places.
  • For paid levels: the date your membership started and the date it ends, so that we can remind you before it is due for renewal.
  • Your total spending over the last 12 months. Each month we use it, under our membership rules, to list members who may move up or down a level or are due for renewal. A staff member prepares the list and the owner confirms it before any level is changed.
  • If we waive your membership fee: the date, the reason, your spending over the last 12 months, and the number of customers you have referred to us through our referral program (2.6).

2.4 When you sign up for a class, fishing trip or event

  • Your name, email address and phone number, as part of your order.
  • The session you signed up for, and your membership level if a member price applies.

We use this to confirm your spot, send you a reminder before the session, and contact you if the session changes.

If the participant is a child or youth under 19, a parent or guardian signs them up and gives us the information. For the participant we collect only their name and contact details and, if needed, an emergency contact. We do not ask for allergy or other health information.

2.5 When you receive our emails

  • Your email address, name and the consent you gave (or the purchase that allows us to email you, see section 5).
  • Your membership level and purchase history (what, when, how much, and in which product category or brand), so that we can send you emails that are relevant to you, for example offers on gear for the kind of fishing you do.
  • Whether you open our emails and click the links in them, and when you unsubscribe.

2.6 Our referral (Creator) program

If you are a referrer (for example a creator, a staff member or a partner business):

  • your name, email address, phone number and referral code or link;
  • the information we need to pay your commission, such as your payment account details;
  • the sales credited to you and the commission we calculate.

If you are a customer who was referred:

  • the referrer whose code or link you used the first time, linked to your email address;
  • the purchases you make afterwards, so that we can credit them to that referrer.

If a referrer is also our member, the number of customers they have referred may be considered when we decide on a membership fee waiver (2.3).

We do not give your name or contact details to the referrer. Referrers see only the order amounts and commission credited to them. We credit your purchases to a referrer for five years from the day your purchases were first credited to them. After that we stop crediting new purchases to them, and we keep the record only as long as we need it to calculate, check and pay commissions.

2.7 When you contact us or leave a review

  • Contact form: your name, email address, phone number (optional) and your message.
  • Reviews: your name as you choose to show it, your rating and your review. If you agreed to receive our emails, we may invite you to review a product after your order.

2.8 When you visit our website

Our website, like most websites, collects some information automatically through cookies and similar technologies: your device and browser type, pages you view, how you arrived at our site, and an approximate location based on your IP address. See section 8.

3. How we use your information

We use personal information to:

  • process and deliver your orders, take payment, and handle pickups, returns and exchanges;
  • recognise you as the same customer in the store and online, and keep your purchase history and loyalty points;
  • run our membership program: apply your membership level and member prices, decide upgrades, downgrades, renewals and fee waivers, and send renewal reminders;
  • manage class, trip and event sign ups and send confirmations and reminders;
  • send you news, offers and fishing reports by email, where section 5 allows;
  • run our referral program: credit sales to referrers and calculate and pay commissions;
  • answer your questions and requests;
  • invite and display product reviews;
  • understand how our website and store are used, so that we can improve them; and
  • meet our legal, tax and accounting obligations, and protect our business against fraud.

We will not use your personal information for a new purpose without telling you and, where required, asking for your consent.

4. Your consent

We collect, use and share personal information with your consent, or where the law allows us to do so without it.

  • Express consent. For example, when you tick the box at checkout to receive our emails, or when you ask a staff member to sign you up.
  • Consent by giving us information for an obvious purpose. When you give us your information to place an order, join our membership, sign up for a class or send us a message, we use it for that purpose and for what is needed to carry it out, such as taking payment, delivering your order, confirming your spot, and sending you the related confirmations and reminders.
  • Notice with a chance to say no. For uses you might not expect from the purchase itself, we tell you here and you may ask us not to do them: using your spending to work out your membership level (2.3); crediting your purchases to the referrer whose code or link you used (2.6); and website analytics (section 8). To say no, contact us (section 14). If you say no to crediting a referrer, we stop crediting your future purchases to them.

You can withdraw your consent at any time by contacting us (section 14), subject to legal or contractual limits. If you withdraw consent, we may not be able to provide some services, for example a membership that depends on knowing your purchase history. We will tell you what the effect will be.

You do not have to agree to receive marketing emails to buy from us or to join our membership. Some member benefits, such as the VIP fishing report, are delivered by email, so you will not receive them if you choose not to receive our emails.

5. Marketing emails

We send news, offers and fishing reports by email only:

  • to people who agreed to receive them, online or in the store; or
  • to customers who actually bought from us, with a payment, within the last two years, as permitted by Canada's anti-spam law. Free sign ups, such as joining our free membership, do not count as a purchase.

Every marketing email identifies Fish On Outfitters, includes our contact information and has an unsubscribe link. If you unsubscribe, we will stop sending you marketing emails within 10 business days. You will still receive emails that confirm or explain your orders and sign ups, such as order confirmations and class reminders. When your membership is close to its end date, members who agreed to receive our emails get an email reminder; members who have not agreed, or who have unsubscribed, are reminded in the store or by phone.

6. Who we share your information with

We do not sell your personal information.

We share personal information only as follows:

  • Service providers that help us run the store. They include providers of our online store and point of sale system, payment processing, email sending, our referral program, our loyalty and rewards program, product reviews, and spreadsheet and file storage. We choose providers that commit to protecting personal information, and we give them only what they need to do their job.
  • Analytics providers (section 8), which collect website usage information and may also handle it as described in their own privacy policies.
  • Shipping carriers, to deliver your order (name, shipping address, phone number).
  • Referrers in our referral program see only the order amounts and commission credited to them, as described in 2.6.
  • As required or allowed by law, for example to respond to a lawful request from a public authority, or to protect our rights or prevent fraud.
  • If our business is sold or reorganised, we may transfer customer information to the buyer or successor, who may use it only for the purposes it was collected for. We will tell you after the transaction has taken place.

7. Where your information is stored and processed

Some of our service providers store or process personal information outside Canada, including in the United States. While it is outside Canada, your information is subject to the laws of that country, and may be accessed by its courts, law enforcement and national security authorities.

If you would like more information about how our service providers handle your information outside Canada, please contact us (section 14).

8. Cookies and website analytics

Our website uses cookies and similar technologies that are needed for the site to work, such as keeping items in your cart and keeping you signed in to your account.

It also uses analytics tools to understand how visitors use our site, for example which pages are visited and how visitors arrive. These include Google Analytics and performance and usage tools provided through our website platform. They collect information such as your IP address and your device and browser details. You can limit this through your browser settings or a tracking protection tool.

If you arrive through a referral link or code from one of our referrers, we save a cookie or similar identifier that records which referrer sent you, so that your purchases can be credited to them (section 2.6). You can delete it in your browser at any time.

You can set your browser to refuse or delete cookies. If you do, parts of the site, such as the cart and your account, may not work.

9. How we protect your information

We use reasonable security arrangements to protect personal information against unauthorized access, collection, use, disclosure, copying, modification and disposal. For example:

  • our store systems require a password to sign in;
  • payment card details are handled by our payment service providers and not stored by us;
  • messages you send through our website forms, and notifications about your orders, go to the email account the store uses for its business; and
  • the spreadsheets we use for our membership and referral programs are kept in the store's business accounts.

No method of sending or storing information is completely secure, but we work to protect your information and review our practices from time to time.

10. How long we keep your information

We keep personal information only as long as we need it for the purposes in section 3, or as long as the law requires. For example:

  • order and transaction records: six years from the end of the tax year they relate to, because tax law requires us to keep business records for that long;
  • customer accounts, membership and referral records: as long as we need them for the purposes in section 3, after which we delete them or make them anonymous, except for the order records above;
  • if we use your information to make a decision that directly affects you (for example a membership upgrade or downgrade), we keep it for at least one year after the decision, so that you have a chance to ask for it;
  • your email marketing record (including when you unsubscribed) for as long as needed to respect your choice.

When we no longer need personal information, we delete it or make it anonymous.

11. Your rights: access and correction

You can ask us:

  • for access to the personal information we hold about you, how it has been used, and to whom it has been disclosed;
  • to correct personal information that is wrong or incomplete; and
  • to withdraw your consent (section 4) or unsubscribe from our emails (section 5).

Send your request to us in writing (section 14). We may need to confirm your identity before we respond. We will respond within 30 days of receiving your request, unless the law allows us to take longer, in which case we will tell you. If we decide not to make a correction you asked for, we will attach your requested correction to the record. We may charge a minimal fee for access to your personal information; if so, we will tell you the amount before we proceed. If we cannot give you some information, we will explain why, unless the law prevents us.

12. Children

Our online store is intended for adults. If you sign up a child or youth under 19 for a class, trip or event, you confirm that you are their parent or legal guardian and you consent to our collecting and using their information for that purpose (section 2.4). We do not use children's information for marketing.

13. Changes to this policy

We may update this policy from time to time. We will post the updated policy on this page with a new effective date. If we make an important change to how we use your personal information, we will tell you in a clear way, for example on our website or by email, and ask for your consent where required.

14. Contact us
